** Recommended: The policy states that students must complete the Drug Screen only if required by the clinical agency. As such, it is recommended that if students believe that a site will require a background check or drug screen, we ask the students to complete the necessary items as soon as possible to avoid any delays in the clinical /research experience
* Recommended but not required for Practice Focus Program: The policy states that students must complete a Background Check, Student Disclosure Form and Drug Screen only if required by the particular clinical agency. Some clinical compliance requirements may be completed in a single day, while others may take several months and require multiple appointments with a healthcare provider. It is critically important that students begin this process well in advance of their scheduled clinical rotation to ensure sufficient time for review and official clearance.
Please be advised that certain clinical agencies may impose additional site-specific requirements. Students will be notified if any supplemental documentation or actions are necessary.
Exxat
Exxat is the official system used by the School of Nursing to manage:
- Clinical placements
- Compliance documentation
- Clinical eligibility status
- Program-related requirements

For clinical compliance, students are responsible for logging into Exxat to monitor requirements, upload required documentation, as well as any additional requirements outlined by their academic division.
The School of Nursing – Office of Student Clinical Compliance reviews all submitted materials and updates students’ Exxat accounts accordingly.
Students are responsible for monitoring their Exxat account and ensuring all requirements are complete and current.
Accessing Your Clinical Requirements
Students may access their program-specific clinical requirements in Exxat
The Office of Clinical Compliance is responsible for manually entering the following compliance items into Canvas:
- Health & Immunization Documentation
- Influenza Vaccination
- COVID Vaccination/Booster
- Criminal Background Check
- Urine Drug Screening
- Student Disclosure Form
Students must upload or acknowledge the following in Exxat
- CPR BLS – American Heart Association
- NJ RN License
- Undergraduate Clinical Resource Guide Acknowledgement
Please note that this is a manual entry process for each individual student. If documentation does not yet appear in Exxat, students may access their records directly through the original source or vendor used to complete the requirement
Requirements
You can access your program requirements on Canvas by clicking on “Modules.” Please use the clinical clearance grid located on the “syllabus page” to verify your requirements. Since students are enrolled in “sections” that correspond with program clinical requirements, we advise you to confirm that you’re enrolled in the correct section.
Completed requirements can be accessed by clicking on “Grades.”
The Office of Clinical Clearance will input your health and immunization, flu vaccine, criminal background check, urine drug screen, and student disclosure information on Canvas. But, because this is a manual process for each student, if you do not see your records on Canvas, you may access them through the following sources.
Health & Immunization, Flu Vaccination, and Annual Physical
(Submit documents directly to Rutgers Biomedical and Health Sciences (RBHS) Student Health Portal https://rbhs.medicatconnect.com)
For nursing students, Health and Immunization requirements are mandatory before participating in clinical rotations. Rutgers School of Nursing and clinical sites require proof that students are protected against communicable diseases and are medically cleared to work with patients.
Please visit the RBHS Student Health and Immunization website and view the Nursing Students Immunization Requirements
- Select “Clinical Students” and choose the packet which corresponds to your program which will guide you to your Immunization Packet.
All forms and questionnaires must be completed on the immunization portal listed in your packet.
- Fill out the online Mandatory Health Questionnaire
- Ask your healthcare provider to fill out your immunization packet
- Some of your vaccines may have already transferred into our system from the NJ vaccine registry or your previous time at Rutgers
- Please do not re-submit immunizations that are already in the system
- Enter the dates of your vaccines or labs under the Immunization tab
- Upload your signed, completed packet and any supporting documentation, if applicable (ex: labs, blood work, x-ray report)
- An annual influenza vaccination is required of all nursing students prior to attendance at any clinical site utilized by the nursing program. Students must receive a new vaccine each Fall administered after August 1st.

- Go to https://rbhs.medicatconnect.com/. This is the same site to upload documents.
- Log in with NetID and password
- On the left panel, you should see a tab that says “messages.”
- Select Compose and in the ‘To’ field, select “Immunization A Team.”
- Once the information is reviewed and the student receives a VERIFIED status from Student Health, the Office of Student Clinical Compliance will update the student’s Exxat account.

CPR-BLS (upload to Exxat required)
Students are required to have a current valid American Heart Association “Basic Life Support for Health Care Providers” CPR certification. These certifications can be completed at a variety of training centers and are valid for two (2) years from the day that you pass the course. Students will be asked to upload their CPR card to Exxat Please note only the American Heart Association BLS CPR card is accepted.

Undergraduate Clinical Resource Guide Acknowledgement (Acknowledgement must be completed in Exxat)
All Traditional, Blackwood and Second-Degree undergraduate nursing students must complete the Undergraduate Clinical Resource Guide Acknowledgement prior to their clinical rotation in the Rutgers nursing program. Students will be asked to upload a signed copy of the form to Canvas. The form may be found on the Student Notification of Program Requirements module in Canvas. Please upload your signed form immediately.

(Graduate Students, School Nurse Certificate and RN to BS students only)
Graduate, School Nurse Certificate and RN to BS students are required to upload a copy of their current RN license in order to participate in clinical. Professional licensure must be valid for the entire clinical experience.
